I got your answer and i found it very helpful, but i still have more questions to be answered.
First  the site i intend to use has not being used ever before so there aren't any bolts and other climbing aids. So i'll like to know how and where to get these materials.
also i'll like to know how to contact and invite climbers for the event.

Ok you can buy bolts and other climbing equipment on the web. However if youre inviting climbers then they should bring their own equipment. They possibly will have equipment like that anyway. If not try an outdoor shop and you will get everything you need. Ask somebody and they will point you in the right direction. If you want to buy off the net then i would visit 'blacks' 'upandunder' 'cotswolds' 'field and trek' and other retailers that would sell equipment. IF you have no success then try the manufacturers. 'DMM' 'black diamond' 'petzal' 'rock and run' if you type any of these into google then your results should be very helpful. You should try to invite climbers by either putting up flyers in outdoor places. You could contact local radio. You could also try various rock climbing web sites where you could post an invite on a message board. I think i have run out of ideas, but good luck with everything and i hope you have a successful climbing event.
